After Hours Answering Service

Your office is closed. Your service is not.

Reading Time: < 1 minute

Property managers and building staff expect the same level of service at night that they receive during the day. They should not feel as though they have been sent to a generic call center.

That requires more than a greeting with your company name. The answering team needs to know:

  • Which calls require an immediate dispatch.
  • Who is on call and what to do if that person does not respond.
  • Which details your technicians need before they are contacted.
  • Which routine requests can wait until the office reopens.

Call your own number after hours

Schedule a test call and listen as a customer would. Does the greeting sound like your company? Can the person answering explain what information is needed? Do they know the difference between an urgent situation and a request that can wait? Then follow the test through to the on-call handoff instead of stopping once someone answers the phone.

Field note. Choose one place where on-call schedule changes are recorded and make it the official source. A text message, spreadsheet, and printed list can quickly become three different versions of the truth.

For callers, that means a real person and a clear next step. For technicians, it means fewer unnecessary interruptions. For managers, it means a record of what happened.
